Procurement of a framework agreement for a room management system with an electronic sign at Vestfold Hospital.
The Department for Child an adolescent psychology (BUPA) at Vestfold Hospital, is co-locating large section of the organisation in a newly erected building in Anton Jenssens gate 2 in Tønsberg, with a move in date of January 2017. In preparation for the co-location, BUPA has investigated the opportunity for areas of improvement and improved work flow in the new building, and has identified areas where the ICT solution can assist in better area and room utilisation, more effective work processes and in optimisation of health benefits for the patients.
The objective of the procurement is to achieve improved area and room utilisation and increased efficiency in affected work processes. The procurement is expected to be positive for BUPA and the effects and experiences of using the solutions at BUPA will form the basis for any further call-offs for other departments at Vestfold Hospital. Specific effect oriented goals are:
Reduced use of time in booking meeting/treatment rooms.
Higher frequency of use of meeting/treatment rooms.
Improved area utilisation.
Following are the identified quality requirements:
Meeting rooms must be able to be used as treatments rooms and vice versa.
It should be possible to reserve rooms from a mobile phone, PC or a sign.
The solution should provide an overview of who is at work and where they are.
It should be easy to locate the individual meeting rooms.
The solution should be able to show the name and optional information (position, function etc.) of the person using the room at a booked time. A standard set up shall be offered and it must be possible to update the information automatically.
